Sites

Site is the most used module in the MainManager system. Most of other data in the system is related to a site in some way. As in the Register locations step, it is possible to register and edit the location structure manually or by importing data from national register, Excel, AutoCAD, BIM or import from external databases.

In this step, a list of all sites (in the selected portfolio) and their attributes is displayed. Sites, buildings, floors, building spaces, outdoor areas and building parts all have their own list view in a separate step where data can be edited. During the implementation period, the system is usually adapted to the customer's data model and / or uses the standard registration methods recommended by MainManager (CCS classification for building parts and space categories etc.).

Property or site is the top step in the object structure and before you can start FM processes, the minimum requirement is to register the relevant properties.

 Properties/sites

 

A property has a name, an address (usually posting through public address register e.g.  https://sdfe.dk/hent-data/danmarks-adresseregister/) with registered GPS coordinates.

Property identification can be used as the user's own unique ID for the property. Property code is the property's public code.

Property use is a standard list of standard use of a property. It can be used for grouping and filtering properties, KPI comparison metrics between properties with the same use, etc.

Region is a dimension typically used to divide up its properties into geographical areas. It is possible to set the system to display regions as first drop down in object navigator.

Portfolios show which portfolios the property belongs to. NOTE administrators see all properties but user roles are typically set to view only demarcated properties, so it is important for the administrator to remember to link each property to one or more portfolios.

The ratio areas can be used for KPI comparisons between properties for the different operating data

Properties can be created in many ways; manually, with the default action <Insert List>.

Example for service in Denmark CVR or BBR register

You can choose to search by CVR number (lookup in cvrapi). In the <Load text from clipboard> all addresses that are available for the company in the CVR register, do not list text. You can quality-proof the list and remove/add addresses you want to import.

Here, the user can enter the road name, road numbers (one or more), postal number, etc. and in the <Load text from the clipboard> result of the post. The addresses listed in <Load text from the clipboard> are imported. At the user's choice, the user is then created (or updated whether they already exist)

With the information which is issued in the data distributor. All properties and buildings are given GPS coordinates and are displayed on maps. Here example for importing a Danish municipality using CVR lookups on the municipality's CVR number.

 

 Import from official data register (BBR - danish version)

In some countries where MainManager has been implemented the system has been integrated to public API's to access and import property data. As this has not yet been implemented in the UK, we here describe how this is done in Denmark (BBR).

In the standard import, it is possible to search for CVR number (that all companies in Denmark must have in order to be identified) or address to find the sites to be imported. Buildings and floors can be imported simultaneously. Further information on building information in DK here: Datafordeler and here: CVR register.

You can choose to search for CVR number (look up cvrapi). Then a list will appear in the field Insert text from the clipboard with all addresses that exist for the company in the CVR register. You can quality assure the list and remove / add addresses you want to import.

The user selects on the right hand side what to create; Buildings, Floors, Housing and Official property info (Building parts are not supported yet). It is also possible to decide which portfolio the sites should belong to.

When the user is ready with the list he wants to import (in the Insert Text From Clipboard field), the final step is to press the Run button. Then sites are created along with the data selected; buildings, floors, housings and property info. If these objects already exist then they are updated according to the BBR register.

Import from Excel

Location data can both be registered and updated with an import from Excel. MainManager offers both standard Excel format for imports but it is also possible to register and update data from the column setup that the user works with in the list view in each module.
