Task planning

Here you can manually create your operation and maintenance plan with both individual tasks and with recursive tasks to be done with a specific frequency. Here you can also see all tasks created based on building inspection, standard tasks and incidents. It is in this process where you plan time, finances, resources, etc., and after they are approved they will be included in the annual plan and visible in Task management . 

Create a task

  1. To create a new scheduled task, click the 
  2. The task's registration window is filled in 
  3. Finally, click Save 

An example of a registration window for task

The task's registration window normally has an option to fill out:

  • Location - Property, location (building, floor, room), object (building part, technical system, or location) 
  • Financial Info 
    • Internal task - without account information and without billing 
    • External task - with account information for the supplier/vendor 
  • Rating - Different searchable criteria for the task 
    • Plan type  Such as. operational plan, maintenance plan, statutory task, user wishes, etc. 
    • Maintenance category (4 fixed categories) – remedial, preventive, creating, other 
    • Category - optional categorization 
    • Profession - e.g. carpenter, bricklayer, plumbing, etc. 
    • Optionally other fields for classification 
  • Sender / issued by - here is specified organization and employee 
  • Recipient / Executer - here is specified organization and employee 
  • General info 
    • Task Name - Short Title 
    • Description - detailed description of the task 
  • Timeframe 
    • Single task - task only done once in the set time frame 
    • Recursive task - fixed interval/frequency task in the specified time frame 
  • Order options
    •  Automatic order creation – the system can automatically send out orders when the time is right for the work to be done 
    • Number of days before - enter here how many days before the start time that the order should be sent off to the supplier 
    • Send E-mail - when marking, E-mail with order information is sent to the recipient/supplier 
    • Send documents - When marking, the task's documents are sent as attachment in the E-mail 
    • Deadline - Specifies the number of hours, days, weeks, months, year from the order start date to completion of the order 
  • Financial status of selected period – Enter the planned cost for the first year of the task. If the task spans several years, read more in the chapter "The task economy". After the task is created, a financial overview is summarized based on the task's planned costs as well as the predisposed and posted costs of the orders 
  • Status info 
    • Task status - This sets the task's progress in %
    • Comments – Additional comments can be noted for the task here. Comments are not sent out as information to the recipient/supplier 
  • Messages MainManager's communication tool that allows you to write with both internal users and external recipients/suppliers created in the system 

Note that filling in all fields is not required, only the fields marked with * symbol 


Click Save when you have finished filling in the task's details. The task is then created in the system and assigned a sequential number (ID). After the task is created, the task's registration window displays Sub Data in a column to the right. 


Save button offers different options to save, save and register new or save and continue as described in "Registration options" in the article about Property windows.
