Reports generated from Word templates
For some modules it is possible to set up Word templates with bookmarks that MainManager recognizes and automatically replaces with information from the system. Here we introduce how to set up a Word template, where to save it in Mainmanager and lastly we list up the bookmarks that are available for each module.
Setup in Word
First of all you have to set up your word document that you want to use as a report from MainManager i.e. a work order frontpage report or a lease contract form. You set the Word document up with your desired layout, logo etc. Places in the document that you want to fill out with information from MainManager you have to insert a bookmark (from our predefined bookmark list)
The steps are as shown in picture above:
- Mark the text in the document you want to be replaced with information from MainManager
- Press Insert in toolbar menu
- Select Bookmark
- Write the bookmark name from MainManager predefined bookmark list for the module
- Press Add
Normally each bookmark is just used once, but it is possible to add numbers behind the bookmark if the same information should come repeatedly. This means that the bookmark would then be i.e. BM_Lessor1 when used second time, BM_Lessor2 third time etc.
Setup in MainManager
When the whole Word document has been set up as desired, the next thing to do is to upload it into MainManager. This is done through System configuration > System statistic > Report templates
Here you press the plus button to add a new report template (otherwise you can also edit the ones already existing)
Now there is an option to attach templates to five different modules (here called Report template category). When the registration forms there are some information that is necessary to keep in mind and are dependent on the module you attach your template to.
- For lease contracts you can have various template based on the lease contract type.
- For work orders it is possible to have three different kinds of templates, based on the type (internal, external/purchase order, protocol)
- For incidents (and work orders) it is common to have various templates based on the status of the incident. The status ID is registered on this record and notification rules can be set up to send out report created from the template.
When registering a new report template the document must also be fetched from your computer
After adding the document into report document template list, it can be selected in the Document drop down list.
