Document management

MainManager can be used as an archive for all FM related files including documents, drawings, models, images etc. All filters are classified with metadata for structuring and simple material search. Each file is created once and easily maintained with version control and can be linked as a reference to locations, building parts, contracts, work orders etc.

Files in the system are divided into three basic types: Documents, Images and Drawings. Each basic type has its own list in the document management process and under each basic type, document type and subtype can be registered. When a user uploads a file to the system, he decides which basic type, etc., that file should belong to.

Document management is about that

  • Associate documents to buildings, projects, and other objects in MainManager. They are then used in daily processes
  • Save and sort documents using document classification
  • Manage access to documents through portfolios
  • Access documents in the MainManager app through work orders.
  • Search for documents across modules
  • Searching the contents of files

The user has the opportunity to:

  • Keep track of different document versions by using version control
  • View document history for documents and download old versions of files
  • Upload / Download from Google Drive
  • Search for documents with an effective search tool
  • Send documents to the system's email address so that they are created as documents for further processing
